Information for Teams Attending Tournaments

This page contains important information of interest to all teams attending tournaments.  Additional information primarily of interest to Provincial (AA, A, U12 Provincial) teams may also be found on our Provincial Team Information page.  All teams are encouraged to review the information below to avoid any surprises at tournaments.

Tournament Information and Application

A list of all sanctioned tournaments in Ontario is posted on the Ontario Ringette Association website in early July and updated as necessary. Provincial (AA, A, U12 Provincial) teams must indicate the tournaments they are willing to attend, in order of preference to G&T and will be asssigned specific tournaments by G&T based on their selections and competitive exposure.  Please see our Provincial Teams Information page for details and deadlines. Regional teams should apply directly to the tournament host as listed in the tournament list.  It is recommended that teams apply to their preferred tournaments as early as possible as many fill up quickly.
 

Player Substitutions

Teams missing players due to illness, injury or schedule conflicts may use substitute players ("call ups") subject to the rules, limits and procedures described in the "Sanctioned Events" document under "Games and Tournaments" on the RO Operating Resources page. All substitions for tournaments must be documented on a TRF Adjustment Form, approved by the ERRA G&T Coordinator and then handed to the tournament host prior to any game using the substitute players.  Requests for player substitution for an AA ranking game must be submitted to the G&T committee through the ERRA G&T Coordinator at least 5 days in advance for approval.  Please note that since 2016-17, lateral substitutions are not permitted for AA Ranking Games.

Requests for all substitute players must be approved by ERRA G&T Coordinator prior to the first day of the tournament.  The only exception for this will be for emergencies that take place during the tournament and these will require ERRA G&T Coordinator approval prior to the substitute player participating in a game.  Should such an emergency arise during a tournament, please contact the ERRA G&T Coordinator through one of:

Bench Staff Substitutions

When regular bench staff are missing from a tournament game, substitute bench staff may be used provided that the substitute bench staff is
  • ​Registered on a TRF for the current season in any bench staff capacity
  • Fully qualified for the role that they will be substituting in
  • Documented on a Bench Staff Substitution Form (submitted on-line) and approved by the ORA Technical Director prior to the first day of the event.  The only exception for this will be emergencies that take place during the tournament and these will require ERRA Coaching Coordinator approval prior to the substitute bench staff member participating in a game.
 

Out of Province Play

In order to ensure insurance coverage, any Ontario team attending an out-of-province tournament or game must notify the ORA office in advance. For regularly scheduled league games (NCRRL, LERQ, LRQ), the NCRRL will satisfy this requirement by submitting the league schedule to the ORA office once it is ready.  Teams attending out of province tournaments or other activities such as exhibition games must report these in advance using the ORA online Out of Province Play Request form. The form must be submitted a minimum of 30 days prior to the event being attended.

NCRRL Year-End Event

The NCRRL Year End Event is a Sanctioned Event and as such, all call ups and player substitutions, including goalies, event must follow the same rules, process and approvals as for any Tournament.  In particular, call ups cannot be from a team that is also participating in the Year End Event and all substitutions must be approved by the ERRA G&T Coordinator.  Please see Player Substitutions above for links to the substitution matrix. NCRRL call up exceptions granted for regular season NCRRL play do not apply to this event.  An event-specific TRF Adjustment Form has been prepared for this event and is available at https://erra.goalline.ca/files/ncrrl_trf_adjustment_form.pdf  Completed forms should be sent to the ERRA G&T Coordinator as usual at gt_coord@easternregionringette.ca for approval.  Requests must be made a minimum of 5 days before the beginning of the tournament.  Last minute requests will only be considered in the case of extreme circumstances.
 


Notes:
  1. "Provincial" teams refers to teams registered as "AA", "A" or "U12 Provincial". These teams are seeded and ranked on a province-wide basis. A major focus of these teams is competition against other Provincial teams, particularly those that are non-local.
  2. "Regional" teams typically have a more local competitive focus than Provincial teams although many do attend out of town tournaments. "Regional" includes "B", "C", "U12 R" and all younger teams.
  3. "Substitution" refers to the use of a temporary replacement player or bench staff necessitated by the absence of a team member. This is similar to a "Call Up" in some other sports.
  4. Head Coaches should note that even if they delegate administrative tasks to the team Manager or other volunteers, the Head Coach alone remains responsible for ensuring that these tasks are completed and all required paperwork is in fact submitted on-time and any required approvals are obtained.
